Requirements
Must:
- Proven proficiency with computers, especially Microsoft Office Suite (SharePoint, Word, Excel, PowerPoint) and Adobe Acrobat
- Exceptional organizational capabilities and meticulous attention to detail
- Ability to swiftly learn new systems, tools, and processes
- Strong written and verbal communication abilities
- Capacity to handle multiple tasks and prioritize effectively in a dynamic setting
- Self-motivated with a flexible and collaborative approach
- At least 5 years of experience in program coordination or administrative support in a government, public health, or education-related environment
- Bachelors degree from an accredited institution in a relevant discipline such as Public Administration, Business Administration, Education, Health, or Human Services (equivalent professional experience may be accepted)
Responsibilities
- Provide daily support for program planning, execution, and monitoring
- Maintain well-organized documentation, records, and databases with a high level of accuracy
- Assist in generating reports, presentations, spreadsheets, and program materials using various software applications
- Monitor schedules and deliverables to ensure projects progress as planned
- Effectively communicate with team members, partners, and stakeholders to coordinate logistics and gather information
- Conduct data entry, analysis, and prepare summaries as necessary
- Support administrative functions including scheduling meetings, taking notes, and managing communications
- Adapt to various roles as required to maintain program continuity and success
- Identify process improvement opportunities and actively contribute to problem-solving initiatives
Description
We are seeking a highly organized and detail-oriented Program Specialist to be a crucial part of our team, responsible for the planning, execution, and coordination of essential programs and initiatives. The ideal individual is a fast learner with strong capabilities in Microsoft Office Suite, particularly SharePoint, Adobe Acrobat, Excel, and Word, and is adept at using a variety of digital tools. A keen eye for detail, a proactive attitude, and the ability to adapt to provide support where needed are critical for success in this fast-paced role. This position requires excellent time management skills and the capacity to balance multiple priorities effectively. The contract is for 6+ months with a strong possibility of extension, located onsite in Phoenix, AZ, with 50% travel required between multiple sites, and mileage will be reimbursed.
