Requirements
Must:
- High School Diploma
- 2-4 years of administrative experience
- Proficiency in Microsoft Office applications
- Strong communication, organizational, and multitasking capabilities
- Proven ability to manage high volumes of emails and request-driven tasks
- Ability to adapt to evolving systems and procedures
- High attention to detail
- Associate or Bachelors degree (desirable)
- Experience supporting service operations (desirable)
- Technical background (desirable)
- Spanish fluency (desirable)
Responsibilities
- Address customer inquiries through phone, email, and other platforms, ensuring resolution and satisfaction
- Identify and qualify service opportunities via inbound inquiries and targeted outreach
- Create and process quotes for services, upgrades, training, software, and contracts, as well as handle purchase orders
- Maintain accurate records in the CRM system; manage upgrade and aftermarket opportunities to bolster contract retention and revenue
- Collaborate with service and engineering teams to meet technical requirements
- Handle incoming calls and appropriately route them
- Provide general administrative support as required
- Oversee the Reception Inbox and AnswerFirst routing, responding to and directing emails in a timely and professional manner
- Document and continuously refine written processes and standard operating procedures
- Enhance existing processes
- Assist in the development of marketing materials
- Serve as backup for contract quoting tasks
