Requirements
Must:
- Minimum of 2 years in reviewing, processing, or managing contracts (such as in Legal Ops, contract administration, procurement support, compliance, or related fields)
- Proven track record of extracting contract data and keeping accurate records in a database or tracking system
- Experience in electronically filing documents in a document management system or retention framework with established protocols
- Comfortable handling sensitive and confidential information
- Strong understanding of contract language, with the ability to identify key terms and summarize effectively
- Exceptional attention to detail, ensuring accuracy with metadata entry, naming conventions, and filing standards
- Discipline in classification and taxonomy, consistently applying defined categories and business rules
- Proficient with contract lifecycle management tools, document management systems, and databases (e.g., SharePoint, CLM tools, or similar)
- Practical experience utilizing AI-assisted tools for extraction, summarization, and classification, and confirming results against original documents
- Strong written and verbal communication skills, with the ability to escalate issues while providing context and proposed solutions
- Excellent time management skills, capable of managing multiple contracts and meeting deadlines in a high-volume environment
Responsibilities
- Review and interpret existing contracts and related documents (e.g., letters of credit, guaranty issuances, and amendments)
- Identify contract types, parties involved, effective/expiration dates, renewal terms, key obligations, and other fields necessary for internal tracking
- Classify contracts within the internal database following established categories
- Accurately enter and validate contract metadata
- Identify missing information, inconsistencies, or unclear terms for escalation to the Legal team or designated reviewers
- Electronically archive executed contracts and supporting documentation in the document retention system, adhering to naming conventions and retention policies
- Maintain version control and ensure documents are stored correctly with suitable access controls
- Assist with audits and retrieval requests by promptly locating documents
- Utilize AI tools to enhance contract summarization, metadata extraction, and classification suggestions
- Compare AI-generated outputs with contract language, rectifying errors, and documenting insights for future accuracy
- Provide feedback to internal stakeholders regarding classification rules and opportunities for process enhancement
