Requirements
Must:
- Must reside in the Greater Montreal Area
- Ability to work in a hybrid or in-office setting
- 5 to 10 years of relevant experience
- Extensive knowledge of document management tools (Power BI, Power Automate, Outlook, SharePoint, etc.)
- Full bilingualism in French and English for effective communication with partners in the U.S. and English-speaking Canada
- Advanced user of SharePoint / site collection administration (Microsoft M50468, M50469 or equivalent experience)
- Proficient in the MS Office Suite, Power BI, Power Automate, Adobe Acrobat, FrameMaker, RoboHelp, Captivate, XML, DTD, XSD, XSLT, and CSS
- Strong understanding of Quality Management Systems; internal auditor certification is a plus
- Experience in creating forms, workflows, metadata structures, and automation tools
- Strong analytical skills with the ability to streamline processes organization-wide
- Excellent communication, writing, and organizational capabilities
- Ability to work collaboratively across departments and manage competing priorities
- Proactive approach to problem-solving with a focus on continuous improvement
- Certifications like ISO 9001 Internal Auditor, ITIL Foundation v3, and Six Sigma Green Belt are advantageous
Responsibilities
- Oversee the management, configuration, and enhancement of SharePoint sites, libraries, permissions, workflows, and metadata structures
- Formulate governance rules to ensure appropriate document lifecycle, version control, security, and standardization
- Improve user experience by designing templates, automated workflows, dashboards, and navigation enhancements
- Collaborate with business units to translate operational requirements into SharePoint solutions (lists, forms, automated processes)
- Continuously monitor system performance to ensure platform reliability through audits and ongoing improvements
- Manage and uphold the standards of the digital Quality Management System
- Assist in internal audits, corrective action planning, periodic reviews, and process updates
- Ensure that documents and records are properly controlled, approved, and compliant
- Identify process gaps, risks, and barriers while spearheading initiatives for continuous improvement
- Manage the full document lifecycle: planning, writing, reviewing, publishing, and archiving
- Create, update, and maintain Standard Operating Procedures (SOPs), technical manuals, training documents, O&M manuals, and internal guidelines
- Validate the technical accuracy of all documentation in collaboration with engineering, operations, and product teams
- Develop graphics, diagrams, flowcharts, and process maps for clarity and standardization
- Ensure consistency in style, tone, and format across all organizational documentation
- Create and maintain internal knowledge bases, online help systems, and training materials
- Conduct training sessions for employees and stakeholders on SharePoint usage, document control procedures, and best practices in a digital work environment
- Encourage the adoption of digital tools and a culture of continuous improvement across departments
- Lead or partake in projects aimed at enhancing digital processes using methodologies such as PMLC, Agile, CMMI, or Lean Six Sigma
- Track timelines and deliverables for documentation and QMS-related projects
- Collaborate with IT, Quality, Operations, Engineering, and HR to align documentation and processes with business objectives
