Requirements
Must:
- A Bachelor's degree in Marketing, Communications, or a related field; advanced degrees or certifications are preferred.
- Robust experience with databases, including the ability to create custom reports that ensure the accuracy of high-quality data.
- A proven track record in prospect research to support major gift initiatives, including successfully soliciting and securing significant donations for non-profit organizations.
- Exceptional written and verbal communication capabilities.
- Strong project management and organizational skills.
- Familiarity with fundraising and philanthropic best practices.
- A collaborative team player who enjoys working alongside others.
- Comprehensive knowledge and experience with Word, Excel, and Adobe Acrobat are required.
- Experience with Customer Relationship Management (CRM) software, particularly Salesforce or another widely used non-profit constituent database.
Responsibilities
- I will maintain and manage the central donor database using Salesforce, including all aspects of donor information, research, queries, and report production.
- I will plan, manage, and implement processes to effectively accept, receive, and acknowledge gifts and donations, collaborating with the Finance department to ensure proper accounting and reporting.
- I will coordinate the fulfillment of pledges, acting as the liaison between the Scholar and Donor Services department and the Finance department.
- I will oversee donor recognition programs and activities aimed at enhancing awareness and supporting corporate objectives.
- I will coordinate with leadership from Scholar and Donor Services and the Finance department to implement, update, and maintain the Corporation’s Gift Acceptance Policies.
- I will keep accurate records in the database regarding all acknowledgment and recognition programs.
- I will craft, distribute, and monitor acknowledgment and thank-you letters, ensuring pledge reminders are sent as per donors' preferences and coordinating end-of-year tax documents with the Finance department.
- I will create and distribute monthly summary pledge reports for the fundraising campaign leadership team.
- I will closely work with management to enhance donor communications.
- I will work collaboratively with internal staff to manage the Salesforce database that includes Scholar events and award recognitions.
- I will ensure that major donors are included in relevant events and acknowledged for their participation and generosity.
- I will collaborate with vendors, internal staff, and others as necessary.
- In consultation with internal staff, I will plan, manage, and implement policies and procedures regarding the use of the Scholar and Donor database and any related donor data.
- I will coordinate the assignment of prospective donors to internal staff, the Fundraising Campaign Committee, the Board of Directors, and other campaign volunteers.
- I will keep fundraising campaign leadership informed about significant milestones and information concerning major donors in connection with cultivation and solicitation activities.
- I will engage in prospect research activities.
- I will partner with the IT department on database security, system updates, and data-related needs.
- I will directly liaise with other departments to enhance prospecting efforts.
- Extensive use of a customized database along with standard office applications will be essential.
- I will recommend and assist in implementing procedural improvements and efficiencies.
- I will perform general administrative duties such as data entry, correspondence, and document proofreading.
- I will complete various other tasks as assigned by the Scholar and Donor Services leadership team and senior management.
Description
We are on the lookout for a dynamic Salesforce NPS Database Coordinator who is eager to elevate our operations! If you possess a successful history in prospect research that supports major fundraising efforts, strong experience with CRM databases, and are ready for your next career challenge, we encourage you to apply. This full-time position is a contract-to-hire role based at our client's onsite location in Evanston, Illinois, where employees are expected to work five days a week during core business hours from 8:30 AM to 4:30 PM (35-hour work week). Due to the unique legal and contractual stipulations surrounding this position, we are only considering US Citizens and Green Card Holders/Permanent Residents. Candidates must be able to work directly on CAI's W2. The pay range for this position is $30-$34 per hour, with compensation varying based on several factors such as location, experience, and education. Our benefits package includes medical, dental, and vision insurance, along with access to a 401k retirement plan. This role may also qualify for paid sick leave and/or other paid time off according to applicable law.
